JOB SUMMARY:
Provides specialized skills in research and calculation of prior state service
and determination of eligibility for longevity and hazardous duty pay.
Researches personnel, payroll files and computer systems to determine and report
accurate verifications.
MAJOR DUTIES / CRITICAL TASKS:

Responds to and prepares correspondence and
spreadsheets utilizing personal computer and available software programs such
as MS Word and Excel, as requested by and for UTMB employees, state and local
government agencies and private businesses (i.e., State Attorney Generals
Office, Local Housing Authority, Teachers Retirement System of Texas, various
banking and loan Institutions for mortgage loans).

Maintains integrity of and provides data entry
for information in work group and external databases and file tracking
systems. (HRMS, Access, Comptroller’s HRIS system, the state WCI system and
local files maintenance and tracking systems).

Researches and calculates employee length of
service, longevity and hazardous duty pay.

Serves as liaison between customers and WCR
Employee Records to provide assistance and/or technical advice, direction, and
information.

Communicates and educates customers on rules
and regulations relating to the WCR Employee Records processes.

Files documents in, performs maintenance and
ensures accuracy of UTMB Institutional employee files to maintain compliance
with federal and state laws and regulations.

Monitors, coordinates, and reports the
disposition of inactive institutional and departmental employee files to
Records Management offsite records storage location.

Interacts with customers by phone, computer
e-ail, FAX and face-to-face to provide accurate employment and wage
verifications requested by UTMB employees, State and local government agencies
and private businesses.

Researches and gathers information and
documentation for requests for same by subpoena and Texas Open Records Act.

Provides employee locator service.

Maintains employee information
confidentiality.

Utilizes standard office equipment (personal
computer, Fax and copy machines, microfiche and microfilm readers, telephone
and calculator) to accomplish tasks.

Adheres to internal controls established by
and for department.
-
Performs other related duties as required.
REQUIRED EDUCATION / EXPERIENCE:
High School or equivalent and two years related experience.
EQUIPMENT:
Standard office equipment.
WORKING ENVIRONMENT:
Standard office environment and records storage area(s). Confidential
information is handled on a regular basis, requiring signature of a
Confidentiality Agreement as a condition of employment.
