UTMB / HR In UTMB Basic Services - Woman on Phone

The Recruitment Division of Human Resources will help all departments meet certain basic requirements for hiring in order to meet Department of Labor and other legal compliance obligations. Basic services differ depending on the level of position.

Basic Services:

  • for non-exempt positions include:
    • securing an application
    • screening job-seekers for minimum qualifications
    • referring job-seekers that meet minimum qualifications to hiring departments
    • security checks
  • for exempt positions include:
    • screening job-seekers for minimum qualifications
    • referring job-seekers that meet minimum qualifications to hiring departments
    • security checks

Hiring Department obligations:

  •  for non-exempt positions include:
    • file returned to HR indicating which job-seekers were interviewed
    • dispensation of all job-seekers including why successful applicant was hired over others 
    • If applicant pool includes anyone other than those referred by HR, please include applicant name and application in file indicating source of applicant (see referral sources)
  • for exempt positions include:
    • file returned to HR indicating which job-seekers were interviewed
    • dispensation of all job-seekers including why successful candidate was hired over others
    • securing application (if not already on file) for job-seekers interviewed
    • If applicant pool includes anyone other than those referred by HR, please include applicant name and resume or application in file indicating source of candidate (see referral sources)

Once a job is posted, a recruitment agreement is completed. This agreement indicates the level of recruiting service desired by the hiring department. Revisions can be made to the recruitment agreement at any time by completing a new agreement and notifying the appropriate recruiter of the changes.
